Every Corporate Relations Captain will be assigned a group of THON organizations and one large coporate donor to assist with the corporate donation process. They will be in frequent contact with the THON Chairs/members and corporate donor in order to utilize all committee resources to successfully develop corporate sponsorships for THON and sustain a lasting sponsorship for THON. All captains will have the responsibility of working with organizations in contacting companies they are pursuing as well as making sure they are benefited in a timely manor.
Responsibility Break Down:
• Keep in contact with assigned Organization THON Chairs/members and large donor.
• Help Organizations pursue potential donors
• Make sure their donors are benefited accordingly throughout the THON season
• Update the THINK database with all donor information and correspondence
Administrative Assistant (1)
The Administrative Assistant works closely with the Overall to organize and plan various committee tasks. The responsibilities of this captain includes keeping the minutes of meetings, managing the Angel site, keeping a record of the year’s activities and making sure deadlines are met. This captain will represent the committee at various meetings throughout the year as well as help answer many of the emails received on the Overall's behalf. They must be reliable, professional, and extremely organized.Responsibility Break Down:
• Take minutes at meetings and post them
• Send out weekly Wednesday reminder emails
• Take care of all committee T-shirts and Polos
CCSG Liaison (1)
The CCSG Liaison will work with 19 Commonwealth Campuses and is their contact with the Corporate Relations Committee. This captain will be responsible with assisting all the campuses in securing donations from local companies and personal contacts. This person must have good communications skills and have some knowledge about the involvement of Commonwealth Campuses in THON.Responsibility Break Down:
• Work with CCSG THON Committee
• Keep in contact with ALL campuses THON Chairs and members
• Teach Commonwealth how to successfully fundraising using company contacts
• Send them the needs materials to get the job done
Corporate Database (4)
The tasks these captains perform will help THON secure donations for many years to come. These captains will be in charge of the Corporate Database on THINK and will be responsible for keeping it accurate and up to date. The Corporate Database Captains should have computer skills and an eye for detail.Responsibly Break Down by Captains:
1) Donations Manager/Finance Liaison
• Input all checks into THINK
• Identify donors who have incomplete info and finds it
• Works with Finance DR Liaison to clear up any discrepancies and collect all checks from finance in a systematic and timely manor.2) Corporate Packet Manager
• The corporate packet is their friend
• They maintain the log of all the packets are sent out to ensure there is a follow up
• They mail out the packets on a daily basis, they can be found in the CR drawer
• They are also in charge of making sure there are always packets in the CR drawer for captains to use3) Documentation Manager
• In charge of maintaining a binder of important emails and letters sent to CR
• Asks captains to turn in their important documents4) Data Manager
• Identify donors who have incomplete info in THINK and finds it*All of the Database Captains will have the responsibility of helping to input checks into think when there is a large inflow of checks
Benefits Manager (5)
The Corporate Benefits Managers are responsible for the stewardship of all corporate donors to THON. They make sure all donors are thanked properly and have received all corporate benefits they are entitled to. Their hard work will ensure THON maintains all of its valuable relationships with corporate sponsors. Each captain will have their own area of benefits to be in charge of. These captains will be working with other THON committees and must able to adhere to strict deadlines.Responsibility Break Down By Captains:
1) Events Coordinator
• Thank you cards – Every week or so once checks start coming in they should check THINK for the latest donors to THON. They are in charge of drafting a thank you letter and signing/mailing it out in a timely manor. They then need to update that such letters were sent out in the Benefit Database.
2) Two Recognition Coordinators:
- Banner Manager
• This captain will ensure the huge process of handling the company banners. They will firstly complete an inventory of all of the banners we currently have and the condition they are in. They will also collect all the banners for THON, add them to the inventory and label/store them accordingly in an organized manor for THON weekend. Will also be responsible for coordinating the arrangement of banners THON weekend as well as their removal and subsequent return or stored status for next years event.
- Sponsor Board and Technology Manager
• Responsible for the design, creation and posting of the company Sponsor Board at THON. They will also create the list of companies to go on the scrolling marquee at the BJC.
• Work with the Technology Committee to ensure that the company logo and link is on the rotating banner on the THON website homepage.
3) THON Guests Coordinator
• Responsible for designing and sending out the invitations to the exclusive corporate tour THON weekend as well as the Donor Appreciation Reception. They will make sure to include the tour, floor passes and how to get them, the CAR, and directions to THON. They will also keep an updated database of RSVPs.
4) Benefit Package Coordinator
• Is responsible for sending out the applicable benefits package to the donor in a timely manor and updating what is sent out and when on THINK.
Current Donors (2)
These captains are in charge of maintaining and stewarding all current donors to THON. They will be conducting mailings, sending emails, and making phone calls to inform donors of events and any updates. The Current Donors Captains should be able to work well with THON organizations.Responsibility Break Down for both captains:
• Work together to split up the current donor list between both of them (that have not already been assigned to other captiains).
• Contact the organizations responsible for each donor and discuss ways to contact them again. Give deadline.
• If no response from organization by deadline, these captains must contact the current donors on their own and follow up.
• Send corporate packets to higher level donors. ($500 and up)
• Send letters out to smaller donor levels. ($400-200)
Donor Recruitment (2)
These captains will use creative and innovative ways to contact companies and develop a relationship with them. These captains will be responsible for bringing new corporate donors to THON. They must have a great knowledge of THON. The sky is the limit for this position.Responsibility Break Down by Captains:
1) New Donor/Promotions
• Recruit donors by looking up information on their websites, or other forms of media.
• Fill out and submit grant applications for various foundations and companies.
• Works with Public Relations with publicizing promotions with local donors and with our fundraising initiative with goodsearch and zunafish.2) Local Donor
• Works with HOS and MKTG in deciding what companies in State College should be pursued for monetary donations or those who may like to start a promotional program to benefit THON.
• Contacts local businesses and shows them the marketing potential with THON to the students and alumni of Penn State.
Hospitality/Supply Logistics Liaison (1)
This captain will be the link with the other two THON Committees that deal with corporate donations. Responsibilities include working with the Hospitality committee to plan the Corporate Appreciate Reception during THON weekend and with the Marketing Committee to ensure companies receive benefit packages in a timely manner. Excellent and reliable communication skills are a must.Responsibility Break Down:
• Keep the Triad Captains informed of new major donors so there is not double contacting. Work with the HOS and MKTG liaisons to come up with a list to circulate.
• Help the Benefit captains with knowing what donors to the other committee to benefit and how.
• Keep the CR Captains informed of feedback from donors to other committees to help them make the necessary changes.
• Plan and schedule meetings with the liaisons and the Benefit Captains to discuss the process for the year.
Special Assignment (2)
The Special Assignment Captains will work on multiple exciting tasks to complete throughout the year. They will be responsible for planning committee socials and retreats. They will also organize corporate events and the Exclusive Corporate Tour during THON weekend. These captains will serve as the committee’s inspirational chairs. These people must be versatile and able to work on completing many projects at once.Responsibility Break Down by Captains:
1) Social Events
• Plan committee socials, CR Participation in THON events, and helps with special spontaneous tasks.
• Work with the other Special Assignment Captain with planning the exclusive corporate tour THON weekend.2) Inspiration Chair
• Bring inspiration to meetings and through email.
• Organize and plan trips to Hershey.
• Work with the other Special Assignment Captain with planning the exclusive corporate tour THON weekend.* These captains will be utilized for all special projects and donors that arise during the THON year and will work directly with the overall
Individual Donors (2)
These captains will be in charge of implementing, developing, contacting and stewarding our individual donors, especially those in the Hershey and Chris Millard Club.Responsibility Break Down for Both Captains:
• Complete Mail Solicitation Project for January.
• Keep track and correspond with donors in the Hershey and Chris Millard Club (work with finance to attain member information)
• Accordingly benefit individual donor in Clubs
• Design and send out mass thank you mailing to THON donors
